SUMMIT TERMS AND GUIDELINES


These Terms & Participation Guidelines govern registration, attendance, payment, refunds, transfers, conduct, media, accessibility, privacy, and related matters for the 2026 Arcata Summit.

By registering for or attending the Summit, you agree to the following:

1. Registration and Payment

Registration is complete only after payment has been successfully processed or Arcata has issued an authorized complimentary, sponsor, partner, speaker, staff, or internal ticket allocation.

Participants are responsible for providing accurate registration information, including name, email address, ticket type, and any other information reasonably necessary to administer the Summit. Arcata may request additional information for guest-list management, sponsor allocations, accessibility requests, dietary needs, venue requirements, age-restricted hospitality, or check-in.

Arcata may decline, cancel, correct, or request clarification for registrations that are incomplete, duplicative, fraudulent, unauthorized, mispriced, inconsistent with venue requirements, or inconsistent with the standards and purpose of the Summit.

2. Admission and Check-In

Summit tickets grant access only to the ticket category, date, location, and sessions specified at registration unless Arcata states otherwise.

Arcata may require check-in, ticket validation, identification, guest-list confirmation, or other reasonable admission procedures before entry. Sponsor, partner, complimentary, and group tickets may require attendee names and email addresses before the Summit.

Because the Summit is a curated and capacity-limited gathering, registration does not create a right to transfer admission without Arcata approval.

3. Refunds, Transfers, Cancellations, and No-Shows

The Summit requires advance planning, venue commitments, hospitality costs, speaker coordination, printed materials, staffing, and limited-capacity room design. For that reason, refunds and transfers are subject to the following terms unless different terms are stated on the Summit registration page.

Refund requests must be submitted in writing to engage@arcata.live.

Unless otherwise stated, refund requests submitted at least 30 days before the Summit may be eligible for consideration. Refund requests submitted fewer than 30 days before the Summit are generally not refundable.

Ticket transfers may be permitted if requested before the applicable transfer deadline and approved by Arcata. Transfers are not complete until Arcata confirms the replacement attendee.

Failure to attend the Summit does not automatically entitle a participant to a refund, credit, transfer, or other accommodation.

If Arcata cancels the Summit and does not provide a replacement date or reasonable alternative, paid participants will generally be eligible for a refund of the amount paid to Arcata. Arcata is not responsible for personal travel, lodging, transportation, meals, missed work, or other expenses unless expressly agreed otherwise in writing.

If Arcata postpones the Summit, registrations will generally be transferred to the new date. If a participant cannot attend the new date, Arcata may offer a transfer, credit, refund, or other reasonable accommodation depending on the circumstances.

Arcata may consider limited exceptions in cases of serious illness, emergency, duplicate purchase, administrative error, or unusual circumstances. Granting an exception in one case does not require Arcata to grant the same exception in another.

4. Schedule, Speakers, Venue, and Offering Changes

Arcata may make reasonable changes to speakers, moderators, session order, venue spaces, room assignments, schedule details, hospitality plans, or event format when necessary.

Arcata will make reasonable efforts to communicate material changes when practical. Unless otherwise stated, changes to speaker order, session timing, room assignment, hospitality detail, or venue within the same city do not automatically entitle a participant to a refund.

5. Participation and Conduct

The Summit depends on seriousness, hospitality, good faith, and respect for the room. Participants are expected to treat fellow guests, speakers, moderators, sponsors, vendors, staff, and venue personnel with courtesy.

Participants should not use the Summit to harass others, disrupt sessions, monopolize discussion, pursue aggressive self-promotion, misuse sponsor or attendee access, disregard staff instructions, abuse hospitality or alcohol privileges, or otherwise damage the quality, safety, or integrity of the gathering.

Arcata may refuse admission, remove a participant, revoke access, or decline future participation if a participant violates these Guidelines, violates venue rules, creates safety or reputational risk, or acts inconsistently with the purpose of the Summit.

Participants removed or denied admission for conduct-related reasons are not entitled to a refund unless Arcata determines otherwise.

6. Food, Beverage, Alcohol, and Venue Rules

The Summit may include food, beverage, receptions, drink tickets, or venue-managed alcohol service.

Participants must comply with applicable law, age-verification requirements, venue rules, staff instructions, and standards of moderation. Arcata may limit, deny, or revoke hospitality privileges where necessary to preserve safety, legality, venue requirements, or the quality of the gathering.

7. Media, Photography, and Recording

Photography, video, audio, livestreaming, or other media may be captured at the Summit. Arcata may use such media for event documentation, public communication, marketing, archival, educational, or institutional purposes unless otherwise stated.

Participants may not record sessions, remarks, conversations, presentations, or private interactions without permission from Arcata and, where applicable, the relevant speaker, moderator, contributor, or participant.

Participants with media-related questions or concerns should contact Arcata before the Summit or speak with Arcata staff at check-in.

8. Accessibility, Privacy, and Communications

Arcata seeks to support reasonable accessibility and accommodation requests when feasible. Participants requesting an accommodation should contact Arcata as early as possible before the Summit so that Arcata and its venue partners can respond appropriately.

Information submitted through registration may be used to administer the Summit, process payment, validate attendance, communicate logistical information, manage hospitality, support accessibility requests, maintain records, and send relevant follow-up communications. Arcata does not sell attendee information to advertisers or data brokers.

By registering, participants understand that Arcata may send necessary transactional and operational communications related to the Summit, including confirmations, receipts, reminders, schedule updates, venue information, policy updates, and post-Summit follow-up.
