REFUND, TRANSFER, AND CANCELLATION


This Refund, Transfer, and Cancellation Policy governs refunds, ticket transfers, cancellations, postponements, no-shows, and related matters for Arcata events, courses, and other paid offerings unless different terms are stated on a specific registration page. By purchasing a ticket, registering for an event, enrolling in a course, or accepting a complimentary or sponsor-provided ticket, you agree to this Policy.

1. General Principle

Arcata offerings require advance planning, venue commitments, hospitality costs, speaker and instructor coordination, and limited-capacity room design. For that reason, refunds and transfers are subject to the timing, capacity, and offering-specific rules described below. We aim to be fair and reasonable, but we cannot guarantee refunds or transfers outside the terms of this Policy.

2. Refund Requests

Refund requests must be submitted in writing to:

Please include:

  • Your name;

  • The email address used at registration;

  • The event or course name;

  • The ticket or order number, if available;

  • The reason for the request.

Refunds, when approved, will generally be returned to the original payment method. Processing times may vary depending on the payment platform, bank, or card issuer. Processing fees, service charges, or platform fees may be non-refundable unless required by law or expressly stated otherwise.

3. Salon Events

This section applies to Arcata Salon events, including Soirées, Suppers, Summits, and similar gatherings.

STANDARD SALON EVENT TICKETS

Unless otherwise stated on the registration page:

  • Refund requests submitted 14 or more days before the event may be eligible for a refund.

  • Refund requests submitted fewer than 14 days before the event are generally not refundable.

  • Tickets may be transferable to another approved attendee if the transfer is requested before the event and approved by Arcata.

Because Salon events are curated and capacity-limited, Arcata may decline a transfer if the proposed attendee is not a suitable fit for the room, if ticket validation has already closed, or if the transfer would create operational difficulty.

SUMMIT TICKETS

Summits may have their own refund and transfer deadlines because they involve larger venue commitments, speakers, sponsors, hospitality, printed materials, and multi-day planning.

Unless otherwise stated on the Summit registration page:

  • Refund requests submitted 30 or more days before the Summit may be eligible for a refund.

  • Refund requests submitted fewer than 30 days before the Summit are generally not refundable.

  • Ticket transfers may be permitted if requested before the transfer deadline and approved by Arcata.

Summit-specific registration pages may modify these terms.

4. Collegium Courses

This section applies to Arcata Collegium courses, including full-course passes, single-evening tickets, livestream courses, and similar educational offerings.

FULL-COURSE PASSES

Unless otherwise stated on the course registration page:

  • Refund requests submitted 7 or more days before the first class session may be eligible for a refund.

  • Refund requests submitted after the course begins are generally not refundable.

  • Missed classes do not automatically entitle a student to a refund, credit, or partial reimbursement.

A full-course pass reserves a seat in a limited-capacity course. Because course economics, instructor preparation, materials, venue arrangements, and cohort composition depend on confirmed enrollment, mid-course refunds are generally not available.

SINGLE-EVENING TICKETS

Single Evening Tickets are valid only for the specific class date selected at purchase unless Arcata expressly states otherwise.

Unless otherwise stated:

  • Single Evening Tickets are generally non-refundable.

  • Single Evening Tickets may not be redeemed on a different class date without Arcata approval.

  • Single Evening Tickets are subject to availability and do not guarantee access to future sessions.

If a Single Evening Ticket holder enrolls in the full course shortly after attending, Arcata may, at its discretion, apply the amount paid for the Single Evening Ticket toward the full-course price. Any such credit must be requested within the timeframe stated on the course page or otherwise approved by Arcata.

5. Transfers

Arcata may allow ticket or registration transfers when operationally reasonable.

To request a transfer, contact [policies@arcata.live] with:

  • Your name;

  • The event or course name;

  • The order number, if available;

  • The proposed replacement attendee’s name and email address.

Transfers are not complete until confirmed by Arcata.

Arcata may decline a transfer where the offering is curated, the course has already begun, ticket validation has closed, the proposed transfer would violate event or course policies, or the transfer would create operational difficulty.

6. Complimentary, Sponsor, Partner, and Internal Tickets

Complimentary tickets, sponsor allocations, partner tickets, staff tickets, and other non-paid allocations have no cash value and are not eligible for refunds. Transfers of complimentary, sponsor, partner, or internal tickets may be subject to separate approval, guest-name deadlines, sponsor agreements, or event-specific procedures. Unused complimentary or sponsor-allocated tickets may expire if guest information is not submitted by the applicable deadline.

7. No-Shows

Failure to attend an event, course, class session, reception, or other registered offering does not automatically entitle a participant to a refund, credit, transfer, or make-up opportunity. Arcata may consider exceptional circumstances at its discretion, but no-show refunds are not guaranteed.

8. Event or Course Postponement

If Arcata postpones an event or course, registrations will generally be transferred to the new date. If a participant cannot attend the rescheduled date, Arcata may offer one or more of the following, depending on the offering:

  • Transfer to another eligible attendee;

  • Credit toward a future Arcata offering;

  • Refund;

  • Other reasonable accommodation.

The available options will depend on the nature of the offering, venue commitments, speaker or instructor availability, and costs already incurred.

9. Event or Course Cancellation by Arcata

If Arcata cancels an event or course and does not provide a replacement date or alternative arrangement, paid participants will generally be eligible for a refund of the ticket or enrollment amount paid to Arcata. Arcata is not responsible for personal travel costs, lodging, transportation, meals, missed work, or other expenses incurred by participants unless Arcata expressly agrees otherwise in writing.

10. Changes to Speakers, Instructors, Venues, or Schedule

Arcata may make reasonable changes to speakers, moderators, instructors, session order, venue spaces, room assignments, schedule details, hospitality plans, course materials, or event format when necessary. Unless otherwise stated, a change in speaker, instructor, session order, room assignment, hospitality detail, or venue within the same city does not automatically entitle a participant to a refund. If a material change substantially alters the nature of the offering, Arcata will make reasonable efforts to communicate available options.

11. Removal or Denial of Admission

Arcata may refuse admission, remove a participant, revoke access, or decline future attendance if a participant violates Arcata policies, venue rules, staff instructions, safety protocols, or standards of reasonable conduct. Participants removed or denied admission for policy violations, disruptive conduct, harassment, abuse of hospitality or alcohol privileges, or other conduct damaging to the integrity of the offering are not entitled to a refund.

12. Force Majeure and Circumstances Beyond Arcata’s Control

Arcata may cancel, postpone, relocate, or modify an offering because of circumstances beyond its reasonable control, including severe weather, natural disaster, public emergency, venue closure, speaker or instructor emergency, travel disruption, illness, labor disruption, government action, safety concern, or other substantial impediment. In such cases, Arcata will make reasonable efforts to communicate with affected participants and determine an appropriate path forward.

13. Case-by-Case Exceptions

Arcata may consider limited exceptions to this Policy in cases of serious illness, emergency, duplicate purchase, administrative error, or other unusual circumstance. Granting an exception in one case does not require Arcata to grant the same exception in another case.
