Communications and Email Policy
This Communications and Email Policy explains how Arcata communicates with guests, students, patrons, partners, subscribers, and other participants. By registering for an Arcata offering, enrolling in a course, purchasing a ticket, submitting a form, subscribing to communications, or otherwise providing your contact information to Arcata, you acknowledge the communication practices described in this Policy.
1. Types of Communications
Arcata may send several kinds of communications, depending on how you engage with us.
Transactional Communications
Transactional communications relate directly to a purchase, registration, enrollment, payment, invoice, receipt, refund, or similar transaction. Examples may include:
Registration, enrollment, or purchase confirmations;
Payment receipts;
Invoice notices;
Refund confirmations;
Ticket or order details.
Operational Communications
Operational communications relate to the administration of an event, course, gathering, livestream, workshop, or other offering for which you have registered or expressed participation. Examples may include:
Event or course reminders;
Schedule, speaker, and instructor updates;
Venue details;
Parking, arrival, or check-in instructions;
Weather or safety notices;
Accessibility coordination;
Attendee information pages;
Post-event follow-up.
Marketing Communications
Marketing communications concern Arcata’s broader work, upcoming offerings, essays, announcements, invitations, partner updates, media, or other public-facing communications. Examples may include:
Newsletters;
Upcoming event or course announcements;
Salon, Collegium, or Atelier updates;
Selected partner or sponsor-related announcements;
Post-event reflections or media.
2. Transactional and Operational Communications
If you register for an event, enroll in a course, purchase a ticket, accept an invitation, or participate in an Arcata offering, Arcata may send you transactional and operational communications related to that activity. These communications are necessary to administer the offering and may continue even if you unsubscribe from marketing communications. For example, if you register for a Summit, you may still receive schedule updates, check-in instructions, venue information, or cancellation notices related to that Summit.
3. Marketing Communications and Subscriptions
You may receive marketing communications if you subscribe to Arcata’s email list, request updates, register for certain offerings, attend Arcata events, or otherwise indicate interest in Arcata’s work. Arcata aims to keep marketing communications respectful, relevant, and restrained. We do not intend to overwhelm subscribers with excessive or low-value communications. Marketing emails will generally include a way to unsubscribe or manage preferences where required or appropriate.
4. Unsubscribing
You may unsubscribe from marketing communications by using the unsubscribe link included in marketing emails or by contacting Arcata at: [engage@arcata.live]. Unsubscribing from marketing communications does not necessarily unsubscribe you from transactional or operational communications related to purchases, registrations, enrollments, invoices, active courses, upcoming events, or other offerings in which you are participating.
5. Event and Course Communications
For events and courses, Arcata may send communications before, during, and after the offering. Participants are responsible for reviewing event and course communications before attending.
6. Group Orders, Sponsor Guests, and Third-Party Registrations
If a ticket, registration, or course enrollment is purchased or reserved on behalf of another person, the purchaser is responsible for ensuring that the actual attendee receives relevant communications, policies, and logistical information. For sponsor guests, group registrations, partner allocations, or complimentary tickets, Arcata may request the names and email addresses of actual attendees so that they can receive necessary operational communications directly.
7. Communication Accuracy
Participants are responsible for providing accurate contact information and for keeping that information current where relevant. Arcata is not responsible for missed communications caused by incorrect email addresses, spam filters, blocked senders, full inboxes, or failure to review communications sent to the address provided during registration. To help ensure delivery, participants may wish to add [engage@arcata.live] or other official Arcata email addresses to their contacts.
8. Communications from Partners, Sponsors, or Vendors
Arcata may acknowledge partners, sponsors, vendors, venues, speakers, instructors, or contributors in its communications. Arcata does not intend to provide sponsors or outside partners with unrestricted access to subscriber, attendee, or student email lists unless clearly disclosed or consented to. If Arcata ever offers a co-sponsored communication, partner invitation, or third-party communication opportunity, it will seek to handle such communications in a manner consistent with Arcata’s standards and applicable privacy expectations.
9. Emergency or Time-Sensitive Communications
Arcata may send urgent or time-sensitive communications when necessary.
These may relate to:
Event postponement or cancellation;
Venue changes;
Severe weather;
Safety concerns;
Speaker or instructor changes;
Schedule changes;
Travel or access issues;
Other material updates affecting participation.
These communications may be sent by email, phone, text message, or other reasonable means depending on the urgency and the information provided by participants.
10. Text Messages and Phone Calls
Arcata may use phone calls or text messages for limited operational purposes, such as event-day coordination, urgent schedule changes, speaker logistics, sponsor coordination, venue issues, or other time-sensitive matters. Arcata does not intend to use text messaging as its primary marketing channel unless a recipient has clearly opted into that form of communication. Message and data rates may apply depending on the recipient’s carrier and plan.
11. Surveys and Feedback
Arcata may invite guests, students, patrons, partners, or participants to provide feedback after an event, course, or other offering. Feedback may be used to improve Arcata’s programming, operations, communications, hospitality, and future offerings. Arcata may also use testimonials or comments publicly only where appropriate permission has been obtained or where the use is otherwise clearly authorized.
12. Data and Privacy
Arcata’s collection and use of personal information is governed by its Privacy Policy. This Communications and Email Policy should be read together with the Privacy Policy, Terms of Purchase and Registration, and any applicable event or course policies.
13. Updates to This Policy
Arcata may update this Communications and Email Policy from time to time as its offerings, systems, communications practices, legal obligations, and practical experience develop.
