Arcata LLC, doing business as Arcata (“Arcata,” “we,” “us,” or “our”), respects the privacy of the people who interact with us.
This Privacy Policy explains how we collect, use, and share personal information in connection with our websites, communications, events, courses, services, registrations, transactions, and other offerings. Certain offerings may have additional terms or notices that provide more specific information.
1. Information We Collect
The information we collect depends on how you interact with Arcata. It may include:
contact information, such as your name, email address, telephone number, and mailing or billing address;
registration, enrollment, attendance, purchase, or transaction information;
professional or organizational information you choose to provide;
information submitted through forms, applications, surveys, inquiries, or correspondence;
preferences, requests, dietary restrictions, accessibility or accommodation needs, or similar information you provide in connection with an offering;
technical information collected when you use our websites or digital communications, such as IP address, browser and device information, referring pages, pages viewed, and interactions with our websites or emails; and
other information you voluntarily provide to us.
When you make a payment, we may receive transaction and billing information necessary to administer the purchase. Payment-card information may be processed by third-party payment providers, and Arcata does not ordinarily receive or store complete payment-card credentials outside those systems.
We may also receive information from service providers, registration platforms, social-media services, referrals, or other third parties when you interact with Arcata through them.
Some Arcata events or activities may be photographed, filmed, or recorded. Any additional terms governing such media will be provided where appropriate.
2. How We Use Information
We may use personal information to:
provide and administer Arcata events, courses, services, and other offerings;
process registrations, enrollments, transactions, and payments;
communicate with you about an offering, transaction, inquiry, or other relationship with Arcata;
provide hospitality, accessibility, accommodations, or other requested assistance;
send Arcata news and updates when you have subscribed to receive them;
respond to questions or requests;
operate, secure, analyze, and improve our websites, communications, and offerings;
prevent fraud, spam, misuse, or security problems;
maintain appropriate business, accounting, tax, and operational records;
protect Arcata, our participants, and others; and
comply with applicable law.
Information concerning allergies, accommodations, health-related needs, or similar matters is used only as reasonably necessary to fulfill the purpose for which it was provided, protect health or safety, or comply with law. We do not use such information for unrelated marketing.
We may also use aggregated or de-identified information that no longer reasonably identifies an individual.
3. Communications
Providing contact information in connection with an event, course, transaction, inquiry, or other relationship with Arcata allows us to communicate with you about that relationship.
It does not, by itself, enroll you in Arcata's general marketing communications.
If you separately subscribe to Arcata news or updates, we may send those communications to you. You may unsubscribe from marketing emails at any time using the unsubscribe link contained in the message.
Unsubscribing from marketing communications will not prevent us from sending messages reasonably necessary to administer a registration, transaction, event, course, service, or other existing relationship.
We will not use a telephone number supplied for another purpose to send unrelated marketing text messages without appropriate consent.
4. Cookies and Analytics
Arcata and its service providers may use cookies and similar technologies to operate and secure our websites, understand website traffic and use, measure communications, prevent spam or automated activity, and improve our services.
You may be able to restrict certain cookies through your browser or privacy controls available on our websites. Doing so may affect some website functions.
Arcata does not currently use personal information collected through Arcata to target advertising to individuals across unrelated websites or services.
Some browsers transmit “Do Not Track” or similar signals. Because there is no uniform standard governing those signals, we do not currently respond to them in a distinct manner. Where applicable law requires recognition of a browser-based privacy preference, we will comply with that requirement.
Third-party services integrated into our websites may use cookies or similar technologies and may collect information about your activity over time or across websites or services, subject to their respective privacy practices and our arrangements with them.
5. When We Share Information
We may share personal information with service providers and others when reasonably necessary to operate Arcata or provide something you have requested. These may include:
website, hosting, communications, and technology providers;
registration, enrollment, ticketing, and payment providers;
venues, caterers, hospitality providers, and contractors involved in an Arcata offering;
professional advisers;
analytics, security, and fraud-prevention providers; and
government authorities or others when required by law or necessary to protect legal rights or safety.
We may also share information at your direction or with your consent, or in connection with a financing, merger, sale, reorganization, or similar business transaction involving Arcata.
Arcata does not sell personal information to data brokers or advertisers.
We also do not give subscriber, attendee, student, client, or other participant contact lists to sponsors or partners for their independent marketing purposes without appropriate consent.
6. Your Choices and Privacy Rights
You may unsubscribe from Arcata marketing emails at any time.
Depending on where you live and which laws apply, you may have rights concerning your personal information, including rights to confirm whether we process it; request access, correction, deletion, or a copy of certain information; or opt out of its sale, targeted advertising, or certain automated profiling.

We may take reasonable steps to verify your identity before fulfilling a request. We may also retain information where permitted or required by law, including for legitimate business, accounting, security, or legal purposes.
If applicable law gives you a right to appeal a decision concerning a privacy request, you may do so through the same email address.
7. Retention and Security
We retain personal information for as long as reasonably necessary for the purpose for which it was collected and for legitimate business or legal needs, such as maintaining transaction records, complying with legal obligations, preventing fraud, or resolving disputes.
When information is no longer reasonably necessary, we may delete, anonymize, or otherwise dispose of it.
Arcata uses reasonable administrative, technical, and organizational measures intended to protect personal information. No method of transmitting or storing information, however, can be guaranteed to be completely secure.
8. Children and Third-Party Services
Arcata's websites and general communications are not directed to children under 13, and we do not knowingly collect personal information online from children under 13 without appropriate authorization. Individual Arcata offerings may establish additional age requirements.
If an Arcata offering is made available to minors, we may provide additional notices, safeguards, or consent mechanisms as appropriate or required by law.
Our websites and communications may contain links to or interact with services operated by third parties. Their collection and use of information for their own purposes are governed by their respective privacy policies and terms.
Arcata is based in the United States. If you provide information to us from another country, that information may be processed in the United States or other jurisdictions where our service providers operate.
9. Changes to This Policy
We may update this Privacy Policy as our offerings, operations, technology, or legal obligations change.
When we do, we will post the revised Policy and update the effective date above. If a change materially affects how we use personal information, we will provide additional notice or obtain consent where appropriate or required by law.
